We may collect information you choose to provide, including:

• your name, email address, country or region, and automatically detected time zone;
• for corporate training inquiries, your company name, contact details, expected number of learners, preferred start timing, and consultation message;
• your Japanese level, learning goals, preferred course, start timing, and class preferences;
• roadmap questionnaire answers, including study history, available learning time, self-rated skills, situations where you use Japanese, and current difficulties;
• questions, notes, survey answers, lesson records, feedback, and communications with us;
• payment and enrollment information if you become a learner.

Our hosting and security systems may also process limited technical information, such as an approximate country, browser or device information, IP address, request logs, and timestamps.

For cookie-free website measurement, we record limited events such as a page view, trial or roadmap-button click, form start or completion, and AI Guide opening. These records include the page, date, approximate country, referring site domain, and a short-lived one-way visitor identifier. We do not include form answers or chat content in analytics events.

We use personal information only for purposes connected with operating and improving Borderless, including to:

• review trial applications and recommend a suitable course or class;
• review a corporate training inquiry, design a possible training plan, prepare an estimate, and contact the company representative;
• create, securely store, and provide access to a requested roadmap;
• contact you about a trial, schedule, enrollment, or support request;
• send occasional learning tips, course updates, or trial information only when you separately choose the optional email subscription;
• deliver lessons, learning feedback, and learner administration;
• protect the website, prevent spam or misuse, and troubleshoot problems;
• understand and improve our programs, materials, and website;
• meet legal, accounting, and safety obligations.

If we want to use your information for a materially different purpose, we will provide an appropriate notice or request consent where required.

When you use Ask Borderless, the text you enter and the recent conversation needed to answer it are sent to OpenAI for processing. The website requests that OpenAI does not store the response request for model improvement (store: false). Borderless does not deliberately save AI chat transcripts in the trial application database.

If you request a personal roadmap, the questionnaire answers relevant to learning analysis are sent to OpenAI without your name or email address. AI helps organize an estimated starting point, strengths, priorities, study method, and course direction. The structured result, generated PDF, download activity, and original answers are retained by Borderless so the roadmap can be securely downloaded and, where appropriate, reviewed by a teacher. The private download link expires after seven days. The result is not an official JLPT or CEFR assessment.

To prevent automated or abusive use, we temporarily retain limited security counters linked to a one-way hashed network and device identifier. These records help us warn or temporarily lock unusually repetitive activity without storing the raw chat message in the protection record.

Please do not enter passport numbers, payment details, medical information, or other sensitive information into the AI Guide or roadmap form. AI answers may be incomplete or incorrect; final placement, pricing, and availability are confirmed by a human.

We do not sell personal information. We may allow service providers to process only the information reasonably necessary to provide hosting, data storage, security, AI responses, email or communications, payment, scheduling, and operational support.

Trial applications and roadmap records may be made available in a separate, access-controlled Borderless administration system. Approved operational events may create automated emails, reminders, and time-limited sign-in links. If you opt in to optional email updates, an email delivery provider may process your address, subscription preference, and message interactions to deliver the selected communications and manage unsubscribe requests.

We may also disclose information when required by law, to protect rights or safety, or as part of a business succession. A service provider processing information on our behalf is expected to handle it under appropriate contractual and security controls.

We retain information only for as long as reasonably necessary for the purposes described in this policy, including follow-up, learner administration, dispute prevention, security, and legal or accounting requirements. The period depends on the relationship, the type of record, and whether an application becomes an enrollment.

We use reasonable organizational and technical safeguards, but no online service can guarantee absolute security.

Depending on applicable law, you may ask us to confirm whether we hold your personal information and request access, correction, deletion, suspension of use, or an explanation of our handling. We may need to verify your identity and may retain information where the law permits or requires it.

Optional learning tips and course emails are separate from creating a roadmap. You may leave that box unchecked or withdraw later through the unsubscribe option in an email or by contacting us.
